There is no single authoritative score called “your email domain reputation.” Gmail, Outlook, Yahoo and other mailbox providers evaluate senders with their own data and policies. Mailbox providers make their own acceptance and filtering decisions using data they can observe. One provider may trust a sender while another throttles or filters the same traffic. A third-party score can be useful as a clue, but it is not the same thing as the internal reputation used by Gmail, Outlook or Yahoo.

What can Google Postmaster Tools tell you?
Google Postmaster Tools can show information about outgoing mail to personal Gmail accounts, including spam rate, domain and IP reputation, authentication and delivery errors. Google notes that data appears only for traffic to personal Gmail accounts and that low-volume senders may not have enough data for all dashboards.
Use it as provider-specific evidence, not as a universal reputation certificate.
What does Outlook look at?
Microsoft says Outlook.com filters consider factors related to sending IP, domain, authentication, list accuracy, complaint rates and content. It also notes that new IP addresses start without established reputation and may experience more deliverability issues until they build a positive sending history.
This is why simply moving to a new IP is not a reliable reputation reset. A new IP can create a new warm-up problem while the underlying list or complaint issue remains.
What does Yahoo require from senders?
Yahoo's published sender guidance requires authentication and low complaint rates for all senders, with stronger SPF, DKIM, DMARC and unsubscribe requirements for bulk senders. Yahoo also expects valid forward and reverse DNS for sending IPs.
Again, the useful evidence is whether your real mail stream complies and how Yahoo recipients respond, not whether a generic domain checker gives a green badge.
Which signals usually damage reputation?
High complaint rates, repeated delivery to invalid addresses, sudden volume spikes, weak consent, inconsistent authentication, poor sending-IP history, suspicious infrastructure and repeated policy failures can all contribute. The exact weighting is provider-specific and not publicly exposed.
Separate cause from correlation. A campaign may have high bounces because the list is stale, while transactional mail from the same domain is healthy. Segment the evidence before changing the entire domain.

- Sudden or erratic sending-volume changes.

How do you know whether the domain or the IP is the problem?
Check both where the provider exposes that distinction. Google Postmaster Tools separates domain and IP reputation views when data is available. SMTP responses may also name a low-reputation domain or sending IP. If several domains on one shared IP fail together, the infrastructure may be involved. If one domain fails across different infrastructure, domain reputation becomes more plausible.
Do not assume shared hosting or a dedicated IP is automatically good or bad. The actual sending history matters.
How should a new domain build reputation?
Start with legitimate, expected mail to accurate recipients. Keep authentication correct, volume stable, complaints low and bounces under control. Increase volume gradually according to real business need instead of manufacturing a warm-up pattern disconnected from real recipients.
Transactional and person-to-person mail should remain predictable. Promotional sending should have clear consent and unsubscribe controls.
Can reputation recover after a problem?
Often, yes, but recovery depends on removing the cause and producing a cleaner history over time. Stop sending when providers are rate limiting or clearly rejecting traffic for reputation reasons, repair authentication and DNS problems, suppress invalid or complaining recipients, and resume legitimate traffic cautiously.
Do not treat recovery as a fixed number of days. Different providers observe different data and may respond at different speeds.
What should a reputation audit deliver?
It should identify the affected providers, sending domains, IPs and mail streams; collect the relevant SMTP responses and provider dashboards; confirm authentication and DNS identity; review complaint and bounce evidence; and distinguish observed facts from inference.
The outcome should be a prioritized repair plan with measurable checkpoints, not a generic “domain score.”
Should you rely on public blacklist checks?
Public blocklists can be useful when an SMTP response or provider dashboard points to a listing, but a clean blacklist result does not prove good inbox reputation. Gmail and Outlook use their own internal reputation signals, and those systems are not replaced by a third-party “blacklist score.”
Use public-list evidence when it is relevant to the actual rejection. Do not turn a clean scan into a claim that the domain has excellent reputation everywhere.
What should you measure before hiring a deliverability specialist?
Collect a week or more of normal business evidence if the situation is not an emergency: volume by mail stream, hard and soft bounces, spam complaints where available, provider-specific delivery errors, authentication pass rates and major changes to domains, IPs or sending platforms. Preserve examples of messages that were accepted, deferred, rejected and spam-foldered.
That baseline makes it possible to tell whether remediation changed the condition instead of relying on anecdotal inbox tests.
