Define what the assistant can use
The starting inventory lists documents, owners, versions and access permissions. Policies, manuals and project records may have different review dates and readers. Expired content needs a defined treatment.
New documents pass through ingestion and indexing. The interface should show whether a source is available, processing or rejected. Deleting access must also remove it from retrieval and cached answers.
Show the evidence and its limits
An answer can cite a passage and open the underlying document for an authorized reader. Conflicting versions should be visible. When the source does not answer the question, the assistant needs to say what is missing.
Retrieval quality, prompts and model choice are tested against representative questions. Citations alone do not establish that an answer is correct. The evaluation checks whether the cited material supports the response.
Keep tool access explicit
Reading a policy and changing a customer record are separate capabilities. An action connection needs authorization, validation, an activity record and any required human approval. Sensitive changes can remain unavailable.
An assistant connected to business software can use a custom MCP connector. We define the permitted tools and test misuse, revoked access and a failed external response.
Test useful questions and difficult cases
The acceptance set includes normal questions, missing information, outdated policies and attempts to access another team records. Review answer quality, source relevance, response time and operating cost.
Bring approved sample documents and the questions staff repeatedly ask. The project includes source handling, access tests and a process for reporting a wrong answer.

Yes, with an agreed hosting and processing arrangement, authorized source access and the appropriate retention controls.
Can the assistant guarantee correct answers?
No. The build includes evaluation, source references, uncertainty handling and escalation. High consequence decisions require the agreed review.
