Salon POS Checklist: Bookings, Deposits and Products
A salon POS should connect the appointment, agreed service, deposit and final bill. Test how a service and a retail product appear on one customer account, including any changes made during the visit.
Map a booking from enquiry to checkout
Begin with the service name, expected duration, price and resource required. A chair, room or specialist can each limit availability. The booking process needs to check all resources required for the appointment.
Record whether the customer has a confirmed appointment, has arrived, completed the service, cancelled or joined a waiting list. Keep the cancellation and rescheduling policy visible at the point the customer agrees to it.
Connect deposits to the correct customer
Use a deposit reference that can be found at checkout. When the customer arrives, the deposit should reduce the correct bill once. Changes in scope or price should be explained before the final payment.
Test an appointment reschedule, a customer name correction and a cancelled booking. Ask the supplier to show where the deposit remains and how a permitted refund is recorded. A cancellation fee needs agreed terms and suitable payment authorization.
Combine services and retail products clearly
Use a sample visit with a TTD 400 service and a TTD 120 retail product. With a confirmed TTD 100 deposit already recorded against the bill, the remaining amount is TTD 420 before any additional tax or adjustments required by the business.
The retail product should reduce its physical stock at fulfilment. Any products consumed while delivering the service need a defined usage or recipe policy. Selling a bottle and using part of a bottle are different stock movements.
| Sample bill | TTD amount |
|---|---|
| Service | 400.00 |
| Retail product | 120.00 |
| Total in this example | 520.00 |
| Deposit already received | (100.00) |
| Balance | 420.00 |
Track prepaid sessions and customer permissions
A package should show the original paid invoice, number of included sessions, sessions used and expiry terms. Require a completed appointment record before consuming a session, and prevent the same appointment being charged twice.
Separate operational reminders from promotional messages. Record the customer communication preferences and limit staff access to the details required for their role. Review retention and privacy arrangements before importing client notes.
What to request in the demonstration
Square Appointments publishes resource booking, reminders, waiting lists and combined service and product checkout. These are useful workflow references; its payment availability and plan requirements need separate country checks.
The deployed DSDillon POS can record products, service invoices, deposits and balances. Integrated appointment scheduling, packages and automatic reminders remain in the premium development scope. A salon project should demonstrate those specific tasks before it is accepted.
Questions before you decide
Can a deposit be applied to a salon invoice?
Yes. The system should link the confirmed deposit to the correct invoice and show the balance still due without recording the money twice.
What should a prepaid service package record?
Record the funding invoice, customer, services included, session count, usage history and expiry terms. A completed appointment should consume a session once.
