Turn Email PDF Attachments into Business Records
An email attachment can become a proposed order or supplier bill through a controlled intake, reading, validation and review workflow.
Identify the inbox and the document
Choose the approved mailbox and the messages eligible for processing. Save a stable message reference and the original attachment. A job that sees the same message again should recognize it.
Define accepted formats, size limits and what happens to encrypted or damaged files. Confidential documents require appropriate storage and retention.
Extract the fields the destination needs
Use an existing PDF text layer where available. Scanned pages may need image recognition. The output should include the requested fields and a link to the source location or original document.
Check invoice number, supplier, date, currency, line items, tax and total. A missing currency or inconsistent total enters review. A supplier match must be verified before creating a liability.
Send a reviewed record and retain the result
The destination needs a source reference and a duplicate rule. Keep its response and resulting record ID. Failed imports should remain visible with a retry path.
Start with anonymized examples from several suppliers, including poor scans and corrections. Measure field accuracy and review effort against the agreed sample set.

Yes. They require a tested reading method and review for uncertain fields.
Can it generate a CSV for an existing system?
Yes. The import format, date rules, currency precision and identifiers are included in the acceptance test.
