Build a Follow Up Process for Missed Sales Enquiries
A follow up process needs a responsible person, a due time and a visible outcome. A notification alone leaves the ownership unresolved.
Assign the enquiry when it arrives
Record the original channel and received time. Apply the agreed assignment rule and make unassigned enquiries visible. A handover should preserve the existing contact and conversation history.
If two channels concern the same customer, present the possible match for review. Automatic merging needs careful rules for shared email addresses and business contacts.
Give each stage an action
A stage can require a call, quotation, document or approval. Completing a task records its outcome and sets the next step. Overdue work needs a manager view and an escalation rule.
Define what pauses reminders: a customer reply, completed order, opt out or agreed future date. Automated messaging needs the approved provider and consent process.
Review the actual response path
Measure time to assignment, time to a meaningful response and progress to the next agreed stage. Keep enquiry counts distinct from qualified opportunities and completed sales.
A useful acceptance test follows one enquiry through arrival, assignment, reassignment, quotation and outcome. Test the same customer returning later.
